Department Employment Letter for On Campus Employment

In order for eligible students to apply for a Social Security Number (SSN) for on campus employment, departments are responsible for issuing an employment letter to those who they are hiring who do not yet have an SSN.

Employment Letter for F-1 Students

Departments should only provide the letter for students:

  • working on campus in that department and
  • completing an I-9 for that employment

The Social Security Administration has very strict expectations for the format and content of this employment letter. To assist in ensuring accuracy, we have provided a template letter here. This template letter MUST be:

  • printed on department letterhead,
  • completed by the supervisor, and
  • signed with ink (no electronic signatures).

The EIN number on the letter has been pre-populated; it should not be changed.

After receiving the employment letter from their hiring department, the student will request a status confirmation letter from ISSA. They will upload the department letter in the "SSN Letter Request" form in ISSAlink. ISSA will process the request, print off the letter, and email the student when it is ready to pick up at 105 Main Building.

  • F-1 Graduate students whose admission letter shows full funding must still request a specific employment letter from the department, per SSA guidelines.
